Vice President of Events

The Vice President of Events is responsible for the development, coordination and delivery of official Chapter programs.  The position will work with the Vice President of Education and Certification to determine if a speaker is needed and, if so, what speakers should be contacted.   In addition, this position fulfills any other requirements of a Director and Officer, and performs other duties as the need arises and/or as defined in the bylaws.  This role is elected biennial and the individual will serve two years in this position.
 
Specific accountabilities include, but are not limited to:
 

  • Serve on the Board
  • Develop the annual program plan and Chapter meeting schedule
  • Work with VP of Sponsorship and/or Director of Sponsorship to secure meeting and event sponsors
  • Secure facilities and food/refreshments for Chapter meetings and events
  • Coordinate, secure and deliver program schedules, caterers and logistical arrangements
  • Prepare a slideshow for the Annual General Meeting (AGM) which includes information specific to this Board members accountabilities and available positions.  This will become part of the consolidated report that the President prepares for the AGM.
  • Work with Vice President of Education and Certification to secure speakers for Chapter events and plan related logistical arrangements
  • Act as liaison with guest program speakers and sponsor representatives
  • Develop and maintain agreements used for identifying expected payments and reimbursements with event sponsors and other meeting related providers
  • Distribute and obtain signed meeting agreements as needed, and ensure payment is made or reimbursement is received
  • Work with the Vice President of Technology and Communication to promote the event to Chapter constituents to increase attendance
  • Keep an inventory of promotional items (e.g. mugs & pens) and door prizes.
  • Prepare presentation slides (Chapter News and upcoming events, but not Speaker slides) for each chapter meeting
  • Prepare and submit a list of expected expenses to be included in the annual Chapter budget
  • Execute assigned strategic Chapter initiatives as determined by the Board
  • Provide quarterly updates on current and planned activities
  • Train on designated backup role, and act as resource when needed (see Emergency Succession Plan)
  • Create related website content and updates as needed
  • Regularly update information and documentation pertinent to the position, and transition to the position successor
  • Actively participate in all applicable Board discussions and decision making

Vice President of Finance

The Vice President of Finance is a principal officer and is responsible for the overall financial operation of the Chapter.  This role requires an in-depth knowledge of the Chapter’s mission and bears special responsibility to ensure that assets are used to support that mission.  The Vice President of Finance also must ensure that the board of directors as a whole fulfills its fiduciary responsibilities.  In addition, this position fulfills any other requirements of a Director and Officer, and performs other duties as the need arises and/or as defined in the bylaws.  This role is elected biennial and the individual will serve two years in this position.
 
Specific accountabilities include, but are not limited to:

  • Serve on the Board
  • Acquire a thorough understanding of financial accounting for non-profit organizations
  • Recommend financial guidelines to the Board
  • Coordinate and lead the annual budget process
  • Compare actual to budget, analyze variances, compile results and communicate to the Board
  • Maintain internal controls
  • Report to the Board any financial irregularities, concerns, opportunities
  • Keep accurate financial records for the Chapter  
  • Prepare and file regulatory reports
  • Prepare financial reports
  • Prepare a report for the Annual General Meeting (AGM) which includes information specific to this Board members accountabilities.  This will become part of the consolidated report that the President prepares for AGM.
  • Ensure that the appropriate financial reports are made available to the Board on a timely basis  
  • Maintain petty cash and all financial accounts
  • Deposit money and checks in the name of and to the credit of the Chapter in the designated depository
  • Disburse Chapter funds in the name of the Chapter
  • Provide periodic reporting to IIBA® regarding the financial state of the Chapter, as required
  • Act as a signing officer for checks and other documents
  • Upon request, provide the President and Board an account of financial transactions and the financial condition of the Chapter
  • Perform other duties as prescribed by the President
  • Execute assigned strategic Chapter initiatives as determined by the Board

Vice President of Technology and Communications

The Vice President of Technology and Communications is responsible for timely dissemination of information to and from Chapter constituents, In addition, development and maintenance of technologies that support Chapter communications and operations: maintenance of the Chapter’s website, development and delivery of email communications to members and other subscribers.  In addition, this position fulfills any other requirements of a Director and Officer, and performs other duties as the need arises and/or as defined in the bylaws.  This role is elected biennial and the individual will serve two years in this position.
Specific accountabilities include, but are not limited to:

  • Serve on the Board
    • Actively participate in all applicable Board discussions and decision making
    • Provide quarterly updates on current and planned activities
    • Execute assigned strategic Chapter initiatives as determined by the Board
    • Prepare and submit a list of expected expenses to be included in the annual Chapter budget
  • Disseminate information to and from Chapter constituents, including:
    • Chapter news updates
    • Chapter meetings and events notices, surveys and presentation downloads
    • Special announcements
  • Monitor and support the Technology mailboxes 
  • Establish standards and style guides for use in Chapter communications
  • Administer Chapter’s technologies such as website, email and document repository in a timely manner
  • Create related website content and updates as needed
  • Evaluate, implement and maintain technology solutions that support Chapter initiatives and operations
  • Design and steward Chapter logos and graphics
  • Promote the local Chapter and IIBA® through various communication channels and act as the gateway for all official chapter communications and publications
  • Assist Board and Chapter members on the technologies that support the Chapter and Administer user accounts (email, SharePoint, admin system) for Board members.
  • Regularly update information and documentation pertinent to the position, and transition to the position successor
  • Serve as a liaison between IIBA and local Chapter for technology related initiatives from motherhood organization usually published in monthly newsletter.  This entails participation in IIBA Chapter Technology Community site representing the Northeast Chapter.

Director of Membership

The Director of Membership reports to the Vice President of Membership and Sponsorship and concentrates on increasing membership value.  The responsibilities of this position focus on the member value proposition, by creating and delivering programs that provide benefits to our membership and increase engagement within the Chapter.  Expanding membership through development of relationships with existing Chapter members is also an essential responsibility.  This position fulfills any other requirements of a Director, and performs other duties as the need arises.  This role is elected biennial and the individual will serve two years in this position.
 
Specific accountabilities include, but are not limited to:

  • Serve on the Board
  • Actively lead and participate in member forums (e.g. – Chapter meeting round table discussions, LinkedIn, Chapter Member Resource Center)
  • Develop and execute programs designed to increase member engagement and attendance at Chapter meetings and events
  • Act as liaison with current and prospective members
  • Execute assigned strategic Chapter initiatives as determined by the Board or Vice President of Membership and Sponsorship
  • Provide quarterly updates on current and planned activities
  • Train on designated backup role, and act as resource when needed (see Emergency Succession Plan)
  • Create related website content and updates as needed
  • Regularly update information and documentation pertinent to the position, and transition to the position successor

Director of Sponsorship

The Director of Sponsorship reports to the Vice President of Membership and Sponsorship and focuses on acquisition and retention of Chapter sponsors.  The position is responsible for development and marketing of sponsorship programs, as well as proactive solicitation of sponsorship support in various forms.  This position fulfills any other requirements of a Director, and performs other duties as the need arises.  This role is elected biennial and the individual will serve two years in this position.
 
Specific accountabilities include, but are not limited to:

  • Serve on the Board
  • Develop and maintain sponsorship program structure, levels and benefits
  • Educate prospective sponsors on the benefits of involvement with the Chapter
  • Establish and maintain a list of prospective sponsors, associated activities and outcomes
  • Proactively solicit sponsorship from employers and organizations throughout the community in various forms, such as:
    • Financial
    • Facilities
    • Food and refreshments
    • Supplies
    • Services
  • Maintain and develop relationships with existing sponsors to encourage and promote renewals
  • Secure agreements and contracts, and facilitate the sponsor signup and renewal processes
  • Act as liaison with current and prospective sponsors
  • Execute assigned strategic Chapter initiatives as determined by the Board or Vice President of Membership and Sponsorship
  • Provide quarterly updates on current and planned activities
  • Train on designated backup role, and act as resource when needed (see Emergency Succession Plan)
  • Create related website content and updates as needed
