Vice President of Administration

The Vice President of Administration is a principal officer and is charged with responsibility for all duties that are customary of Secretary.  The position is instrumental to maintaining accurate records of Chapter activities and business and is the primary custodian of official chapter documents.  The Vice President of Administration is responsible for ensuring that accurate and sufficient documentation exists to meet legal requirements, and to enable authorized persons to determine when, how, and by whom the Board's business was conducted.  In addition, this position fulfills any other requirements of a Director and Officer, and performs other duties as the need arises and/or as defined in the bylaws.  This role is elected biennial and the individual will serve two years in this position.
 
Specific accountabilities include, but are not limited to:

  • Serve on the Board
  • Assume responsibilities of the President in the event of the President’s resignation, until the Board assigns an interim replacement
  • Chair Board and business meetings in the President’s absence
  • Prepare a report for the Annual General Meeting (AGM) which includes information specific to this Board members accountabilities.  This will become part of the consolidated report that the President prepares for the AGM. (No meeting fees may be collected during this meeting)
  • Collect from POB (located in Appleton), distribute and/or process Chapter correspondence and mail (This is typically done prior and during in person board meeting; six per year)
  • Sign official documents of the organization as required
  • Act as a signing officer for checks and other documents
  • Manage and requisition Chapter materials and supplies
  • Orders Name badges at (Appleton trophy).
  • Prepare and submit a list of expected expenses to be included in the annual Chapter budget
  • Execute assigned strategic Chapter initiatives as determined by the Board
  • Provide quarterly updates on current and planned activities
  • Create related website content and updates as needed
  • Regularly update information and documentation pertinent to the position, and transition to the position successor 
  • Actively participate in all applicable Board discussions and decision making
  • Print out registration list for meeting check-in process
  • Send IIBA membership list to WI-BADD registration appointee as requested
  • Train on designated backup role, and act as resource when needed (see Emergency Succession Plan)

 
Maintains and records the following documentation:

  • Maintain copies of the Chapter’s bylaws and the Board’s policy statements
  • Maintain a contact list of Board members, distribute list to IIBA® and other Wisconsin chapters
  • Maintain lists of committees and general membership
  • Record Board attendance
  • Take official meeting minutes and maintain the resulting documentation
  • Record all corrections to minutes
  • Record all motions and decisions of meetings
  • Record all action items and due dates assigned at Board meetings
  • Maintain records on the Board Member compliance with action item deadlines
  • Distribute minutes
  • Maintain records of all official Board correspondence
  • Provide periodic reporting to IIBA® regarding the membership of the Chapter, as required
    • Once per month IIBA will email a list of WI IIBA members; this list is used to verify the required IIBA membership information.
  • Record and file amendments to the bylaws and other legal documents
  • Maintain records of membership attendance and ensure a quorum is present at all Chapter meetings where business is conducted
  • For meetings of the membership: track RSVPs, record attendance, greet attendees and assist with the processing of meeting payments

Vice President of Education and Certification

The Vice President of Education and Certification is responsible for the Chapter's educational and professional development programs designed to increase the competence of the business analysis community as well as promote and educate the membership on the business analyst certifications. This position is responsible for promoting business analysis and developing business analysis skills at the Chapter level by securing qualified speakers to deliver educational topics and programs at meetings, events, seminars, and workshops. The individual in this role will be expected to periodically poll the membership to inquire on the areas in which they are looking to expand their knowledge. Ideally, the individual fulfilling this role will have obtained certification as a business analysis professional. In addition, this position fulfills any other requirements of a Director and Officer, and performs other duties as the need arises and/or as defined in the bylaws. This role is elected biennial and the individual will serve two years in this position.
 
Specific accountabilities include, but are not limited to:

  • Serve on the Board
  • Steward overall Education and Certification activities
  • Provide direction, guidance and support for Director of Certification when the position is filled
  • Maintain a library of speakers including topics and contact information
  • Plan educational programs and select qualified presenters
  • Solicit feedback on programs
  • Oversee programs and initiatives that support members seeking certification
  • Periodically poll the membership on desired topics
  • Prepare slides for the Annual General Meeting (AGM) which includes information specific to this Board members accountabilities.  This will become part of the consolidated report that the President prepares for the AGM.
  • Organize professional workshops and seminars
  • Evaluate educational requirements of the Chapter membership
  • Participate in associated committees within the IIBA®, as needed
  • Prepare and submit a list of expected expenses to be included in the annual Chapter budget
  • Execute assigned strategic Chapter initiatives as determined by the Board
  • Provide quarterly updates on current and planned activities
  • Train on designated backup role, and act as resource when needed (see Emergency Succession Plan)
  • Create related website content and updates as needed
  • Regularly update information and documentation pertinent to the position, and transition to the position successor
  • Actively participate in all applicable Board discussions and decision making

Vice President of Membership and Sponsorship

The Vice President of Membership and Sponsorship is responsible for the development and maintenance of a Chapter membership plan that assures continued growth through recruiting and partnering with major community employers.  The position is also responsible for proactive solicitation and acquisition of sponsorship support in various forms, including financial, facilities, services and supplies.  In addition, this position fulfills any other requirements of a Director and Officer, and performs other duties as the need arises and/or as defined in the bylaws.  This role is elected biennial and the individual will serve two years in this position.
 
Specific accountabilities include, but are not limited to:

  • Serve on the Board
  • Steward overall Membership activities and evaluate performance, including:
    • Active membership roster
    • Growth plan
    • Member Value Proposition
    • Membership programs and initiatives
  • Steward overall Sponsorship activities and evaluate performance, including:
    • Sponsorship program structure, levels and benefits
    • Strategic growth and acquisition plan
    • Sponsorship agreements and contracts
  • Provide direction, guidance and support for Director of Membership and Director of Sponsorship
  • Act as the primary liaison with current and prospective members and sponsors
  • Prepare a report for the Annual General Meeting (AGM) which includes information specific to this Board members accountabilities.  This will become part of the consolidated report that the President prepares for the AGM.
  • Provide update communications for current and prospective members and sponsors
  • Proactively solicit sponsorship from employers and organizations throughout the community
  • Prepare and submit a list of expected expenses to be included in the annual Chapter budget
  • Execute assigned strategic Chapter initiatives as determined by the Board
  • Provide quarterly updates on current and planned activities

Vice President of Strategy

The Vice President of Strategy is responsible for strategy planning and related activities such as administration and management of strategic initiatives, portfolios and projects. The position is also charged with providing active leadership in activities initiated by the Board.  In addition, this position fulfills any other requirements of a Director and Officer, and performs other duties as the need arises and/or as defined in the bylaws.  This role is elected biennial and the individual will serve two years in this position.
 
Specific accountabilities include, but are not limited to:

  • Serve on the Board
  • Conduct strategy planning sessions on an annual basis
  • Facilitate the intake, prioritization, and assignment of Chapter strategic initiatives and projects
  • Perform high-level project management disciplines and tasks around Chapter initiatives to track such things as strategy owner, initiative owner, task assignments, time lines, priorities, scope, and budget
  • Provide guidance and assistance to strategy and initiative owners as necessary to successfully achieve all goals
  • Determine, with the help of Board, when committees are required to execute Chapter initiatives
  • Recruit an appropriate number of committee members (including a committee chair) to carry out the mandate
  • Orient members to the committee’s mandate and position in the organization
  • Act as primary liaison with committee chairpersons, and report the committee’s progress to the Board
  • Provide guidance and support to committee chairpersons
  • Develop, update and incorporate recommended changes from the Board to the terms of reference and mandate of the committee
  • Submit committee’s recommendations to the Board for approval
  • Plan and evaluate committee work with chairpersons
  • Prepare and submit a list of expected expenses to be included in the annual Chapter budget
  • Execute assigned strategic Chapter initiatives as determined by the Board
  • Provide quarterly updates on current and planned activities
  • Train on designated backup role, and act as resource when needed (see Emergency Succession Plan)

Director of Technology

The Director of Technology and Communication reports to the Vice President of Technology and Communication and is responsible for timely dissemination of information to and from Chapter constituents. In addition, development and maintenance of technologies that support Chapter communications and operations, maintenance of the Chapter’s website, development and delivery of email communications to members and other subscribers.  In addition, this position fulfills any other requirements of a Director and Officer, and performs other duties as the need arises and/or as defined in the bylaws.  This role is elected biennial and the individual will serve two years in this position.
Specific accountabilities include, but are not limited to:

  • Serve on the Board
    • Actively participate in all applicable Board discussions and decision making
    • Provide quarterly updates on current and planned activities
    • Execute assigned strategic Chapter initiatives as determined by the Board
  • Disseminate information to and from Chapter constituents, including:
    • Chapter news updates
    • Chapter meetings and events notices, surveys and presentation downloads
    • Special announcements
  • Monitor and support the Technology mailboxes 
  • Administer Chapter’s technologies such as website, email and document repository in a timely manner
  • Create related website content and updates as needed
  • Promote the local Chapter and IIBA® through various communication channels and act as the gateway for all official chapter communications and publications
  • Assist Board and Chapter members on the technologies that support the Chapter and Administer user accounts (email, SharePoint, admin system) for Board members.
  • Regularly update information and documentation pertinent to the position, and transition to the position successor
  • Serve as a liaison between IIBA and local Chapter for technology related initiatives from motherhood organization usually published in monthly newsletter.  This entails participation in IIBA Chapter Technology Community site representing the Northeast Chapter.
  • Train on designated backup role, and act as resource when needed (see Emergency Succession Plan)

President-Elect

The President-Elect has a primary responsibility to mentor under the President and acquire a thorough knowledge of the duties and accountabilities of the presidency.  The individual in this position must also strive to learn as much as possible about the Chapter, the membership and the Board’s efforts to achieve the mission and objectives.  After a period of one year, this individual will move into the President role. 
The position is tasked with building Chapter relationships with the community through proactive engagement with local employers and businesses to increase awareness of the Chapter, and educating on the benefits of the IIBA®.  Chapter partnerships with other IIBA® chapters and synergistic organizations fall within the scope of the position.  In addition, this position fulfills any other requirements of a Director and Officer, and performs other duties as the need arises and/or as defined in the bylaws.
Specific accountabilities include, but are not limited to:

  • Serve on the Board
  • Collaborate with the President to learn the duties and responsibilities of the presidency
  • Act as primary liaison with the local community, through proactive contact and engagement with those not already involved with the Chapter
  • Pursue and develop alliances and partnerships with other organizations, agencies, businesses and individuals in order to further the Chapter’s purpose and strategic objectives (e.g. - Project Management Institute, Association of Information Technology Professionals, New North, Agile Users Group)
  • Maintain relationships with the leadership of organizations that are involved with the Chapter
  • Promote the Chapter’s purpose in the community and to the media
  • Develop relationships with other IIBA® chapters
  • Maintain involvement with IIBA® through participation in regional forums, Chapter Growth Committee and other meetings as needed
  • Prepare a report for the Annual General Meeting (AGM) which includes information specific to this Board members accountabilities.  This will become part of the consolidated report that the President prepares for AGM.
